Business Archive Reports — Santa Cruz County Office of Education
1. Acceptance
These terms govern your use of Business Archive Reports ("the application"), operated by the Santa Cruz County Office of Education ("SCCOE"). By signing in, you agree to them. If you do not agree, do not sign in.
2. What the application is
The application is an internal archive of historical payroll, personnel, and financial records migrated from SCCOE's retired HP 3000 (CECC) mainframe. It exists so that county office and school district business staff can look up, view, and export archived records that predate their current business systems.
3. Eligibility and accounts
Access is by invitation only. Accounts are created by SCCOE or district administrators for named individuals, and sign-in is limited to Google accounts on approved county office and partner school district email domains. There is no public registration.
Your account is personal to you. You may not share it, and you may not allow anyone else to sign in as you or to use your session. You must sign in with the Google account at the email address to which your invitation was issued.
Notify SCCOE promptly if you believe your account or the underlying Google account has been compromised, or if you no longer require access.
4. Acceptable use
The records in this application are confidential employment and financial records. You may use the application only to carry out the official duties of your position. In particular, you agree that you will not:
- look up records you have no business need to see, including your own records or those of colleagues, out of curiosity;
- disclose, publish, or transmit records to anyone not authorized to receive them;
- store exported records on personal devices or personal accounts, or retain exports longer than the business purpose requires;
- attempt to bypass access controls, permission scopes, district restrictions, or the session timeout;
- probe, scan, or test the security of the application, or automate access to it, without written authorization from SCCOE;
- use the application in violation of any applicable federal or California law, district policy, or your employer's acceptable use and confidentiality obligations.
Exports you download become your responsibility to safeguard and dispose of in accordance with your employer's record handling policies.
5. Monitoring
Access to the application is logged. SCCOE reviews these logs for security, access review, and audit purposes, and may investigate use that appears inconsistent with these terms. Access is periodically reviewed and may expire if not renewed.
6. Suspension and termination
SCCOE may suspend, revoke, or delete your access at any time, with or without notice, including when you change roles or leave your employer, when a periodic access review lapses, or when these terms are violated. Violations may also be referred to your employer and, where warranted, to law enforcement.
7. Accuracy of archived records
The records in this application are historical data migrated from a legacy system and are provided as they exist in the archive. While SCCOE works to reproduce the legacy reports faithfully, the application is provided for reference and research purposes, and SCCOE does not warrant that any record or report is complete or free of error. Verify against source documentation before relying on a record for a legal, employment, financial, or retirement determination.
8. Availability
The application is provided on an "as is" and "as available" basis. SCCOE does not guarantee uninterrupted availability and may modify, suspend, or discontinue any part of it, including individual reports, at any time.
9. Limitation of liability
To the fullest extent permitted by California law, SCCOE is not liable for any indirect, incidental, special, consequential, or punitive damages, or for any loss of data, revenue, or profits, arising out of your use of or inability to use the application. Nothing in these terms limits any liability that cannot be limited under applicable law, and nothing here waives any immunity available to SCCOE as a California public agency.
10. Privacy
Our handling of your information is described in the Privacy Policy, which forms part of these terms.
11. Changes to these terms
SCCOE may update these terms. We will update the effective date at the top of this page, and material changes will be communicated to account holders by email. Continued use after a change means you accept the updated terms.
12. Governing law
These terms are governed by the laws of the State of California, without regard to its conflict of law rules. Venue for any dispute lies in the state or federal courts serving Santa Cruz County, California.
